Travel and Booking Information. Because we are a travel agency, we collect personal information necessary to research, plan, and book travel on your behalf. This may include dates of birth, passport numbers, government-issued identification details, frequent traveler program numbers, travel dates and destinations, dietary or accessibility requirements, and other information required by airlines, cruise lines, resorts, and other travel suppliers. This information is collected directly from you and stored in our secure client management system. It is shared with suppliers only as necessary to complete your travel arrangements, by our travel professionals manually entering required details into each supplier’s booking system. Sensitive personal information including passport numbers, government-issued identification numbers, and dates of birth is never transmitted to advertising platforms, analytics tools, or artificial intelligence platforms.

Payment Information. We collect payment authorization information necessary to process deposits and payments for travel bookings. Payment authorization details are stored securely in our client management system for up to 30 days, consistent with standard payment authorization windows. Payment is processed by our travel professionals manually entering payment details directly into each supplier’s booking system. Barefoot Vacation Travel LLC does not process payments directly, does not charge client payment methods independently, and does not retain full credit or debit card numbers beyond the authorization window.

Personal Information. This includes information relating to an identified or identifiable individual, such as your name, mailing address, email address, phone number, and similar contact details. We also work with third-party companies that use personal information to process services on our behalf.

Communications Information. This includes information from communications you send us through contact forms on the Website, by email, by phone, or by text message. We process this information to communicate with you, maintain records, and establish, pursue, or defend potential legal claims.

Technical Information. This includes information about your use of the Website, such as your IP address, browser type, pages visited, length of visit, navigation paths, and access devices. We process this information through our analytics systems to analyze Website usage, administer and protect the Website, and improve your experience.

Information Storage

Your information is stored and managed across a small number of carefully selected systems and platforms chosen for their security standards and relevance to our business operations. These include our primary client relationship management system, our host agency’s internal platform for trip management and commission tracking, and our business communications platform for phone and SMS interactions.

Each platform we use is maintained on infrastructure that meets industry-recognized security and compliance certifications. Our systems are selected with data protection as a primary consideration and are reviewed as our business evolves.

Limited trip-specific information, including traveler names, booking dates, destinations, and trip amounts, is shared with our host agency for the purposes of trip management and commission tracking only. No client payment card details, passport numbers, or government-issued identification numbers are transmitted to or stored in our host agency’s systems.

When we share traveler information with airlines, cruise lines, resorts, and other travel suppliers to complete your booking, that information is transmitted for the sole purpose of fulfilling your travel arrangements. Retention and handling of that information by suppliers is governed by each supplier’s own privacy policies, which are outside our control.

When you contact us directly by phone, text, or email, any personal information you provide is entered into our primary client management system. Email correspondence is stored within our client management system. Phone and SMS communications are retained within our business communications platform subject to that platform’s own retention policies.

Information submitted through forms linked on our website or social media channels is delivered directly into our primary client management system.

Your information may be processed on servers located within or outside the United States. We take all steps reasonably necessary to ensure your information is handled securely and in accordance with this Privacy Policy regardless of where it is stored or processed.

We strongly advise clients not to transmit sensitive personal information, including passport numbers, payment details, dates of birth, or government identification numbers, through text message or unencrypted email. If you need to provide sensitive information, please contact us directly by phone or through the secure forms linked on our website and social media channels.

Data Retention

We retain different categories of personal information for different periods, consistent with the purpose for which each category was collected and our legal obligations.

Travel booking records, including traveler names, travel dates, destinations, booking confirmations, and related correspondence: minimum of seven years following completion of travel.

Sensitive personal information, including passport numbers, government-issued identification numbers, and dates of birth: retained for the duration of the booking process and for a reasonable period thereafter as required for dispute resolution or legal compliance, and in no case longer than seven years.

Payment authorization records: retained in accordance with the security and compliance standards of our client management platform, up to 30 days per the standard authorization window. We do not retain full payment card numbers.

Website inquiries and contact form submissions that do not result in a booking: retained for a maximum of two years from the date of submission.

Technical and analytics data: retained for the period set by each platform’s default data retention settings, currently 14 months for our analytics provider.

Marketing preferences and communication opt-in records: retained until you withdraw consent, unsubscribe, or request deletion.

When information is no longer needed and no legal obligation requires its retention, we dispose of it securely. You may request deletion of your personal information at any time by contacting us at legal@bvt.travel.

How We Protect Your Information

We take the security of your personal information seriously. We have selected systems and platforms that maintain industry-recognized security certifications and we implement reasonable administrative, technical, and organizational measures to protect your information against unauthorized access, disclosure, alteration, or destruction.

You may request deletion of your personal information from our systems by contacting us at legal@bvt.travel. We will process such requests promptly. Please note that deletion from our systems does not extend to information retained by travel suppliers or our host agency, each of which operates under its own data retention policies.

No method of electronic storage or transmission over the internet is completely secure. While we use commercially reasonable means and certified platforms to protect your information, we cannot guarantee that your information will never be accessed, disclosed, altered, or destroyed. In the event we discover a security breach involving your personal information, we will notify all affected individuals promptly regardless of their location, and in compliance with all applicable state and federal breach notification laws. We will provide notification within the timeframes required by applicable law, and in no event later than 30 days following our discovery of a breach involving sensitive personal information.

Artificial Intelligence Technologies

We use artificial intelligence tools to assist with internal business operations, including drafting client communications, generating content, and improving the efficiency of our planning and service processes. We currently use Claude Pro (provided by Anthropic, PBC) and ChatGPT (provided by OpenAI, LLC) for these purposes.

When using AI tools in connection with client matters, we do not input sensitive personal information into any AI platform. All client relationships, travel recommendations, and booking decisions are made by our travel professionals with direct personal oversight. AI tools are used to support our work, not to make decisions about clients.

Third-Party Service Providers

We work with third-party companies and service providers to operate our website, deliver our travel planning and booking services, process payments, manage client communications, and analyze how our website and services are used.

Service Providers

We may engage third-party companies to support our business operations, including website hosting, client relationship management, business communications, payment processing, analytics, and marketing. These service providers have access to your information only to the extent necessary to perform their specific functions on our behalf.

Travel Suppliers

As a travel agency, we share traveler information with airlines, cruise lines, resorts, tour operators, and other travel suppliers as necessary to research, plan, and complete your travel arrangements. Travel suppliers are independent companies operating under their own terms, conditions, and privacy policies.

Host Agency

We operate as an independent travel agency affiliated with a host agency for licensing, booking platform access, and commission processing purposes. Limited trip-specific information, including traveler names, booking dates, destinations, and trip amounts, is shared with our host agency solely for trip management and commission tracking. Passport numbers, government-issued identification numbers, and payment card details are not shared with our host agency for any purpose.

Children
